A practical hot work permit template walkthrough for Australian sites: area checks, fire watch times, expiry rules, and a printable field checklist that upsells the full kit.
Sites that let you weld outside a designated bay almost always want a hot work permit filled in before the first spark. Our hot work permits guide covers the legal backdrop. This page is the template: every field you should expect, and a checklist you can print.
The short answer
- A permit is usually valid for one task, one location and one shift, with a start and expiry time.
- Complete the area check before work: combustibles cleared, extinguisher present, detectors isolated only if authorised, ventilation checked.
- Name a fire watch who is not the welder, and write the post-work watch time (commonly at least 30 minutes, then further checks).
- Close the permit when the area is clear. Expired or unfinished permits belong in a register, not the bin.
Template fields checklist
- Permit number, date, start time, expiry time
- Exact location (building, level, plant ID) and description of the hot work
- Worker / contractor name and ticket or competency
- Pre-start area check (combustibles, drains, tanks, sprinklers, extinguisher)
- Special precautions (fire blanket, spark containment, gas test)
- Fire watch name and required watch duration after last spark
- Authoriser signature and worker acknowledgement
- Close-out: area inspected, permit closed, time noted
Worked example – grinding a bracket in a warehouse aisle
Permit 047 · 07:30–11:30 · Aisle 4 racking repair. Area check: cardboard cleared 10 m, wet down nearby timber dunnage, CO₂ extinguisher at the bay, smoke detector left live (no isolation needed). Fire watch: Sam (stores) for 30 minutes after grinding stops, then a walk-through at +60 minutes. Permit closed 12:05 when the area was cool and clear.
Useful gear (affiliate – we may earn a commission): a rechargeable LED torch / work light kept with the permit pack, and a endoscope inspection camera for inspecting voids before hot work.
Quick answers
Is there one official Australian hot work permit form?
No single national form. Safe Work Australia and state regulators describe the controls; sites and insurers issue their own permits. Use a template that covers area checks, fire watch and expiry.
How long should the fire watch run?
There is no single number in the WHS laws. Many permits require at least 30 minutes of continuous watch after work stops, then further checks. Follow your site permit.
Does a hot work permit replace a SWMS?
No. The permit manages fire risk for the shift. A SWMS covers high-risk construction work method. Many sites want both – see our welding SWMS template guide.
What happens when the permit expires mid-job?
Stop, re-check the area, and issue a new permit before restarting.
